Terms & Conditions

  1. Acceptance
    Unless otherwise stated in writing, Heaven at the Hill Event Catering services are subject to the below Terms & Conditions of Business and the Event Agreement. The payment by any person of any Event Catering fees or charges for such facilities shall be deemed to be an acknowledgement and acceptance by such person of the Terms and Conditions contained herein.

  2. Estimate
    Written estimates will remain valid for 14 days from the date of issue.

  3. Staff Charges
    Staff are charged to include travel time to the venue and to return with in the City of Melboune area , this cost is included in the quote. Quoted charges are an estimate and may vary from the final charge depending on final menu selection, guest numbers, venue requirements and duration of the event. If additional staff are required based on this an appropriate charge will apply. If your guests numbers fall below your set minimum numbers, staff charges will apply. Heaven at the Hill Event Catering prices are quoted on an estimated time required of staff of approximately 4 hours. If an event runs longer then that of the estimated schedule additional staff charges will apply and be subject to  Heaven at the Hill Event Catering’s conditions of payment.

  4. Guest Numbers
    Minimum numbers are required 14 days prior to the event. Heaven at the Hill Event Catering reserves the right to re-quote if this number changes. If confirmation of guest numbers is not made 14 days or more prior to the event date, the numbers stipulated in the event agreement will be deemed final.

  5. Additional Meals
    Food for entertainers, photographers and videographers are available on request only and cost at the same price as guests. Heaven at the Hill Event Catering can arrange alternate food on request. All food are to be served after the main guest food are served.

  6. Dietary Requirements
    Whilst all care will be taken to provide special food to meet dietary requirements, we are unable to guarantee that any meal will be 100% free of all traces of nuts, dairy, gluten or other products that may produce allergic reactions in certain guests. For extreme allergies, special arrangements must be discussed with your Event Manager and may incur an additional charge.

  7. Additional Beverages
    The Client agrees that the person nominated as signatory on the Event Agreement may on the event date authorise Heaven at the Hill Event Catering to supply beverages in addition to those specified in the Event Agreement and agrees to pay the charge levied by Heaven at the Hill in respect of any additional beverages upon receipt of invoice. The Client agrees that beverages will be charged according to Heaven at the Hill Event Catering’s records of consumption, or at the agreed amount in the case of a beverage package option being confirmed by the Client.

  8. Food and Beverages
    Where food and alcohol is supplied as part of a package cost, it remains Heaven at the Hill Event Catering’s property throughout the event until actually consumed. In such cases, we regret that we are unable to provide you with any food, particularly beverage, left over from the event, unless other wise paid for in full.

  9. Payment
    Payable on signing of the Event Agreement is a non refundable deposit equal to $1,000 to secure the event date. Upon execution of menu consultation and preliminary estimate is a deposit equal to 25% of event costs to cover menu design and to secure Heaven at the Hill’s Event Catering services (all deposits credited towards the final amount). Any event booked less than 21 days from the event date no less than $1,000 must be paid in full at the time of booking. 50% of total cost is due 30 days prior to the event and the balance is due 8 days prior to the event no later. If the balance of the total cost of the event is not paid 8 days prior to the event date, the Client may be deemed by Heaven at the Hill to have cancelled the event at that time. Should there be any additional expenses incurred over and above the anticipated cost (such as beverage consumption, increase in numbers, hire needs, changes to event running schedule, extension in event time and staffing requirements) these will be invoiced on a 14 day account.

  10. Cancellations
    Whilst we understand, due to unforeseen circumstances, it may be necessary to cancel/postpone your event, the following must apply: Heaven at the Hill must be notified of all cancelation in writing. All cancellations or change of date made incur a loss of full deposit. Any cancelation if within 14 days of the event will be charged 100% of event cost, if within 30 days of the event will be charged 50% of event cost and if more than 30 days before the event will be charged 25% of event cost. Where circumstances beyond Heaven at the Hill Event Catering’s control prevent Heaven at the Hill  from fulfilling any obligations under this contract, Heaven at the Hill will be released from this contract without penalty.

  11. Hire Equipment
    Heaven at the Hill Event Catering has established partnerships with professional hire companies and recommended suppliers to look after all your equipment needs and services. All equipment included is stated in the quote and based on delivery / pick up during business hours Monday- Friday. To maintain superior quality and ensuring smooth service all equipment hire and services directly related to Heaven at the Hill (i.e. glassware, kitchenware, cutlery, crockery) is done through Heaven at the Hill Event Catering and or key partners only.

  12. Waste Disposal
    In accordance with food and health regulations, waste disposal will be at the Clients cost and managed with the venue. This will be determined during the event planning process and included within the final invoice.

  13. Responsibility For Damage
    Neither Heaven at the Hill Event Catering, the venue nor Heaven at the Hill’s Event Catering’s employees shall be liable for any loss or damage sustained by the Client, the Client’s guests, or by any person, firm or corporation supplying the Client, except where due to Heaven at the Hill Event Catering’s negligence. The Client shall be responsible for making good any damage or loss caused to Heaven at the Hill or the venues furniture, fittings & equipment arising out of or in the course of the Client’s event.

  14. Disorderly Conduct
    Heaven at the Hill Event Catering will not permit or suffer any riotous, disorderly, offensive or improper conduct in any of the event areas inside or adjacent to the venue or within its confines. Any person believed to be under the influence of alcohol or involved in any riotous, disorderly, offensive or improper conduct will be escorted off the premises. Offenders may face possible prosecution.

  15. Responsible Service Of Alcohol
    Heaven at the Hill Event Catering has a Responsible Service of Alcohol Policy. It is illegal to serve alcoholic beverage to any person in a state of intoxication and as such Heaven at the Hill  reserves the right to refuse service to any such persons and/or request their departure from the premises. It is illegal to serve alcoholic beverage to any person less than eighteen years of age & Heaven at the Hill Event Catering reserves the right to request suitable identification to this end.

  16. Safety & Hygiene
    It is the client’s responsibility to ensure children and guests are kept away from any hot or potentially dangerous equipment, including chef, bar and kitchen equipment. Heaven at the Hill Event Catering cannot take any responsibility for any damage to property or persons caused by non-compliance. Pets and other animals must be prevented from entering any area where food is being prepared or served to meet food hygiene and safety requirements.
